- Communications with district and area using designated email: dist10secretary@area72aa.org.
- Taking minutes at district business meetings: Minutes include, at minimum, trusted servant reports, old and new business; changes in trusted servants; district events; and the discussions and voting outcomes of motions.
- Circulating minutes for final approval: The Secretary will send out the minutes to all trusted servants no later than 2 weeks after the district meeting per Motion 98.3 allowing trusted servants the opportunity to review and request changes prior to final approval at the next business meeting.
- Storing minutes: The Secretary will store minutes using safe and easily accessible technology (e.g., Google docs/drive) and provide them to the District Archivist at year’s end.
- Bank communications/accounts: Prepare truncated minutes that document names – first and last - of new trusted servants voted in to positions becoming signatories to our bank accounts; provide said copies to the new signatories, who in turn provide them to the bank.
- Back-up for Registrar: The secretary assumes the Registrar’s duties for periods during which there is no elected Registrar.
- Training: Attend Area workshops for Registrar, Secretary and Technology as feasible.
- Budget: This position has a line-item annual budget for reasonable expenses. See Trusted Servant Reimbursement Policy (Appendix C) for reimbursement clarification.
